In August, we are happy to introduce major changes to the Client Portal. The document section now includes a folderless Recent document tab as well as Waiting for action, which groups together any files that require your client to do something.

The client experience has also been revamped in the Client Mobile App by making the Scan option available everywhere that clients can upload documents, increasing the odds that they use the native scanner and don’t use the iPhone/Android camera application. 

In case you missed it, we recently unveiled our Q3 roadmap which includes recurring invoices, SMS communication, a redesigned dashboard and more!

Let’s look in detail at what we’ve released in the last month.

👨‍👩‍👧‍👧 Client Portal

New document sections: Recent files & Waiting for action

The Documents section in the client portal has been redesigned with the aim of solving a key pain point: make it easier for clients to find the files you need them to see. We’ve added two new sections – Recent & Waiting for action – our testing shows that this will make a marked improvement on your client’s experience.

If a file requires any action from your client (e-signature, approval or payment), it will be highlighted in a separate area above the documents list. And below this key area, we’ve added a folderless list of files that were recently accessed (viewed, opened, renamed, uploaded, signed, approved, etc). 

Sneak peek! On the firm side, we are working on introducing a Global Documents section where you will be able to all documents across all clients in one organized view.

New document sections: Recent files & Waiting for action

Simplified upload: 2x quicker

We have redesigned the file upload process for your clients and it is now faster and with fewer clicks. Improvements are in both the web browser & mobile app.

Mobile scanner: improved UX/UI

Analytics showed that many clients were not using the built-in scanner which creates PDFs but were instead using the camera on their phones. An audit of the Client Mobile App revealed that the Scan button was less prominent. This has now been modified and Scan is now the primary option everywhere where clients can upload files. In testing, this has increased use of the scanner by over 200%.

🤖 Workflow Automation

Assign task to job assignee: New way to manage team workloads

Managing and allocating work can be stressful and time-consuming. Our usage data shows that tasks in a Job are often completed by the Job assignee. Based on the data, we are introducing a new way of managing workload by automatically assigning tasks created in a Job to the Job assignee. 

The new option, ‘Assign task to job assignee’ is available when adding automations for creating tasks. When enabled, this task will be assigned to the Job assignee. This allows firms to have less duplicate task templates and spend significantly less time manually assigning tasks to staff.

✒️ E-signatures

Ability to void pending signature requests

The new option to void pending signature requests enables you to cancel outstanding signature requests when one party has already signed.

If you have automove enabled in your pipeline, voiding the signature request will allow the Job to move forward as if the document were signed, triggering future automations.  Voided documents will be labeled Voided in the document audit trail.

Sneak peek! In addition to utilizing pre-made stylized signature options, your clients will be able to hand-draw signatures.

Initials and text signature placeholders now available for firm members

We have expanded the ability to add Initial and Text fields in e-signatures to firm members. Previously, this was only available to clients to complete. If you need several firm reps to sign, add the fields and indicate each team member’s name. You can add these fields to signature templates, as well.

Ability to print chat threads

You can now save and export the history of communication with clients by printing the secure message chat threads to PDF or local printer. The ability to print emails is coming up in Q3 2022.

  • TaxDome Roadmap Q3 published – a peek at the future releases we are currently working on for roll-out in the months to come.
  • You can now set custom ‘Start date’ and ‘Due inparameters in the task and Job templates (up to 10000 units – days/months/years).
