This month we’ve made marked improvements to the communication suite, CRM, Workflow & released a few smaller but highly requested features.  We revamped  in-app messaging making it even easier for firms to communicate with their clients with the introduction of ‘chats’, similar to ‘threads’ in tools such as Slack.

We’ve also made it easier to import all relevant data with the addition of custom account fields to imports. The documents team has continued their quest from the prior month, expanding the full flexibility of document organization to folder templates & TaxDome Drivе. For Workflow, you can now customize the information you see in job cards, giving you as much (or as little) information as you may want to see at a time. In future development, we’re currently working on recurring billing & improvements to e-signatures (hint: templates!)

Chat-Like Messenger

Now messages look even more like chats. The ‘Chats’ screen has been completely reworked and is now similar to ‘threads’ in tools such as Slack. 

Just like iMessage, when a new message is received it goes to the top of the list, along with important information (number of attachments, task status, whether it’s unread, etc).  We’ve also made it more real-time; if you or your clients attach documents, it will show as a notification in the thread and soon, you’ll be able to see in real-time when your clients or colleagues are typing (…)

Import: Custom Account Fields Added 

When importing client data, you now can map info from your spreadsheet with Custom Account Fields (previously, you could only map Custom Contact Fields). If you add information about business clients, then you can also add fields such as EIN, Primary Contact, Company Size, Company Website, and any other pertinent info. For a personal account, you may want Phone Number or SSN to show directly on the info tab of the account.

Note – this functionality isn’t just for new clients. You can use the import as many times as you need to pre-fill existing data, even for existing Accounts. The new import will only fill in the empty fields, so you can complement existing client data with new details as often as you need.

Default Assignees Automatically Assigned to New Accounts

Team members specified as default assignees are now automatically assigned to new accounts, which are either created manually or by importing a CSV file.

📚 Document Workflow

Top-level Folders Update

You can now create, edit, or delete top-level folders in your folder templates, bringing the editable top-level folders functionality to many clients at once. Also, folder templates now include new file uploading tools that are similar to the ones available in the Documents tab. More>>

Additionally, you can use editable top-level folders in the TaxDome Drive right in your File Explorer. You can delete or rename all existing top-level folders, except for the default folder, with the Client can view and edit access level. More>>

Individual Settings for Bulk Uploaded Documents

Document uploads are now not only faster but also more customized. You can specify additional settings like request approval, lock document to invoice, notify client on upload, etc. for each file individually. 

For example, if you’re uploading six documents, you can choose to notify  clients about 3 of them and lock the other one to an invoice at the same time.

Document Approval Reminder Settings

If utilizing the approval function, you can ensure your clients action your request by toggling on ‘reminders’ during upload. Now you can utilize this functionality when uploading many documents at once with fewer clicks.

Organizers

A few minor updates to organizers while we are working on a bigger release. We’ve expanded conditions to include ‘checkbox’ questions. Previously, you could do that only via yes/no questions or radio select options. More>>

We’ve also given more flexibility to modify reminder settings even after an organizer has been sent; you can now turn reminders on and off for an organizer any time. More>>

Finally, a small but highly requested feature, you can now preview organizers before sending them. When you are about to send an organizer, you can see all the sections and questions from the selected template right before you click ‘send’. Reminder, if you wish to utilize automations you can have organizers sent automatically as part of your workflow.

🤖 Workflow Automation 

Customize Information in Job Cards

A higher level of customization is now available for your job cards. In short, you choose what your job cards display. You can toggle on any of the following key job data points as shown directly on the card in each pipeline: 

  • Job Name
  • Description 
  • Priority 
  • Start Date
  • Due Date
  • Assignees (soon)

You can set up a custom view for each pipeline. Choose to display due dates for bookkeeping jobs, start date, assignees for tax prep, etc.

  • Overdue Tasks Filter. You can now view all tasks that are past their due date on one page. More>>
  • Overdue Jobs Filter. You can now view all jobs in your pipeline that are past their due date.

  • Simplified access rights for your team. To enable your staff to create, edit, and delete templates for tasks, folders, messages, organizers, jobs, invoices, contracts, and emails – you can toggle on the Manage templates permission. If you want your team to view and use existing templates, they need different permissions. More>>
