Our powerful new feature Wiki Pages allows firms of all sizes to create standard operating procedures (SOPs) and ensure all staff know precisely what to do to get the job done.

How to create SOPs using Wiki Pages

If you already have existing SOPs in Microsoft Word or Google Docs, you can copy-paste them into new Wiki pages and maintain all formatting. You can embed images, videos, bullets and many other formatting tools available in the rich-text editor.

Incorporate Wiki Pages into your workflow

To ensure each Job is followed according to firm process, link Wiki Pages to Job templates. This way, when a job is created it will contain all the important information:

  1. Who should do it (job assignee)
  2. How to do it and the SOP (wiki page)
  3. What is the priority of this job?
  4. What is the due date of the job?

Once the job is started, it will also serve as the one-stop shop for all information related to that piece of work. All the linked elements related to the job (messages, invoices, time entries, contracts, and more) will show on the job card, as well, providing employees and managers all the information they need in one place.

For example, if you hire a contract bookkeeper, their working process will be much easier and more productive when clear instructions are provided from the start. You, in turn, will not have to answer repetitive questions and worry about something falling through the cracks.

Change Wiki Pages at different job stages automatically

Instead of having one document that outlines how to do the job from A to Z, if you want separate documents for each stage of the process, you can utilize pipeline automations and link the wiki page to the specific stage; when the job reaches that stage, the linked wiki page will change.

How you plan to use Wiki Pages will depend on your firm’s workflow. In future, Wiki Pages will contain permission controls so you can restrict access to certain wikis for different members of your team.

Boost employee quality output and productivity

One employee may juggle numerous Jobs a day, and productivity under such conditions takes not only professional competence but also possession of the relevant information for the Job at hand. With Wiki Pages, they’ll never again have to reach out to coworkers or managers with simple questions, as they will have all the information they need right.

You want your billing manager to ensure the accuracy of the company’s invoices during the accounts payable process. Remind them what they should pay attention to at the ‘Accounts Payable’ stage by adding the necessary guidelines:

Welcoming a new employee becomes easier and less time consuming with training and onboarding documents, job descriptions, policies and common web links gathered in one place. By having a quicker onboarding process, your staff can spend less time on admin work and more time delivering value to your clients and growing your business.

Example:  

As a bookkeeper, you hire a seasonal billing manager. You can onboard them much faster with the Wiki Pages by keeping all the necessary files in one central wiki hub, which is accessible to them and any other employee when needed.
